Credit Letter Extract

You use this program to extract customer data into a file that can be used by third-party applications to generate letters to customers who have exceeded their credit terms or credit limits.

Options

Field Description
Extract details  
Extract to

Indicate the name of the file to which you want to extract the customer details, including the full path.

This defaults to: \Data\xARSCRE.DAT (where x indicates your company id)

Customer  
Customer selection Indicate a selective range of customers that you want to include in the extract.

You can also specify a list of up to 200 customers to include. From within the Define Customer List window, the Balance extracted column indicates the customer's current balance. You can enter any amount here, which will be added to the outstanding order value and compared to the customer's credit limit to determine whether the credit limit has been exceeded.

Branch  
Customer branch selection Indicate the Accounts Receivable branch(es) for which you want to include customers in the extract.
Customer class  
Customer class selection Indicate the customer class(es) for which you want to include customers in the extract.
Geographic area  
Geographic area selection Indicate the geographic area(s) for which you want to include customers in the extract.
Salesperson  
Salesperson selection Indicate the salesperson(s) for which you want to include customers in the extract.
Limit/Terms selection  
Customer selection
All customers Includes all customers without specifying limits, terms or minimum balances.
Limit checking

Includes customers based on an amount by which they have exceeded their credit limit.

Terms checking

Includes customers based on the number of days they have exceeded their terms.

The entry made at the Days over terms field is added to the customer's terms (AR Customer Maintenance) and compared to the credit status of the account (where the credit status x 30 = age of oldest invoice).

If you choose this option, then you can also include customers who are in a credit status of 9.

Limit and terms checking

Includes customers based on an amount by which they have exceeded their credit limit or on the number of days they have exceeded their terms.

Minimum balance checking

Includes customers whose balance exceeds the minimum balance amount entered.

Customer balance selection
All include all customers, regardless of their account balance.
Debit Only includes customers with a debit balance.
Credit Only includes customers with a credit balance.
Select this to include all customers, irrespective of whether they have a debit or a credit account balance.
Select this to include only those customers who have a debit balance.
Select this to include only those customers who have a credit balance.
Limit checking: Amount over limit Define the amount to use to check if customers have exceeded their credit limit.
Terms checking: Days over terms Define the number of days to use to check if customers have exceeded their terms limit.
Include where credit not available Includes customers who are in a credit status of 9 (i.e. a manual hold has been placed on the account to suspend all credit for the customer).
Minimum balance checking: Balance Define the amount to use to check if customer balances have exceeded this amount.
