AP Details for Check

You use this program to view the payment and invoice details of transactions that originated from the Accounts Payable module.

Payment Information

Field Description
Bank Indicates the bank code and name to which the transaction was posted. In Accounts Payable, banks are linked to suppliers.

Invoice payments to suppliers are processed as withdrawals against the bank associated with the supplier.

Currency Indicates the currency of the bank to which the transaction was posted.
Month/Year posted Indicates the month and year when the transaction was posted to the bank.
Check register Indicates the Accounts Payable register number in which this payment was included.
Check type Indicates the type of payment.

The type Manual, indicates that the payment was processed using the Payment Cycle Maintenance program.

The type System, indicates that the payment was processed using the AP Release Schedule program.

Check date Indicates the date on which the payment was posted.

Listview columns

Column Description
Supplier invoice Indicates the invoice number that was allocated to the transaction when it was posted in Accounts Payable.
Invoice date Indicates the date allocated to the transaction when it was processed.
Invoice reference

Indicates the reference text entered during posting.

For Invoices and Registered Invoices, the reference can be entered at the time of posting.

If Credit Notes or Debit Notes were re-established from the invoice, then the text RESTAB is displayed as the reference. If the invoice still existed, no new record is created as the value is just combined with the existing invoice record.

If the entry comprised of multiple entries, then the text *MULT* appears as the reference.

Doc type

Indicates the invoice type, which assists in classifying the document according to the different types of purchases.

The invoice type for Invoices, Debit Notes and Registered Invoices is Invoice. The invoice type for Credit Notes is Credit

Gross amount Indicates the total value of the transaction excluding discount, in the currency of the transaction.
Discount amount Indicates the total value of the any discount taken off the transaction value, in the currency of the transaction.
Net amount Indicates the total value of the transaction (gross less discount), in the currency of the transaction.
Withholding tax

Indicates the Withholding tax portion of the invoice. It is an advance payment of company tax which is collected by the customer when paying a supplier.

This is only displayed if Withholding Tax is required (Tax Options).

Currency Indicates the currency in which the transaction was posted.
Exchange rate

Indicates the exchange rate in which the transaction was posted.

Local currency entries will display 1.000000 as the exchange rate.

The exchange rate held in the Currency Exchange Rates table (see Browse on Currencies), is issued as the default exchange rate when posting a transaction. This can be changed when processing the transaction.

Local net amount

Indicates the total value of the transaction (gross less discount), in local currency.

The local currency entries will display the same value as the invoice net amount and foreign currency entries will display the local currency equivalent, which the program calculates using the invoice net amount and invoice exchange rate.

Supplier Indicates the supplier against whom the invoice was processed.
EFT batch number Indicates the Electronic Funds Transfer batch number, if the invoice was paid by EFT.
Payment run Indicates the payment run number in which the check was issued (see Payment Cycle Maintenance).

Program access

  • This program can be accessed by selecting the AP Details function from either the Deposits and Withdrawals program or by selecting an amount in the Bank equivalent column in the Transactions listview of the Bank Query program.
