Notes Storage

When you add a note to a key field using Notepad Editor, it is allocated a unique number. This number is generated from the ADMNOT control file (located on the server) and is used to create a unique filename. The name of the file defaults to: Nxxxxxxx.RTF, where xxxxxxx refers to the generated number that is incremented each time you add a note.

In a Windows or mapped environment, these files are saved to the ..\Work\Notes folder.

In a Unix Client/Server environment, these files are saved to the ..\base\notes folder.

Because RTF editing takes place on the client workstation and the text contents are streamed back to the application server for saving on the server, the RTF editor functions identically on both Windows and Unix platforms.

Some Business Objects have been modified to use COMNOT to return the notes stored in these rich text format documents.

Notes and warnings

Program access

  • You access the editor by either pressing F7 when you see the Notepad icon, or selecting the Notepad icon itself.

Coding considerations

  • Only regular text characters are recognized when printing notes added using the Notepad Editor program.

  • You should not use square brackets ( '[' or ']' ) in any RTF notes fields. Square brackets (and specifically the closing square bracket ']' causes text to be truncated when using SRSdocument printing. This means that notes on your documents (e.g. invoices, delivery notes, purchase orders, quotations, factory documentation, etc) may not be printed in full when printing them using SRS.

Security

  • You can prevent the unauthorized maintenance of key field notes by denying access to the Notepad Editor at group level (Groups). The Notepad Editor program is located within the System Admin & Shared Programs module, displayed once you have selected Security Access.

Regardless of whether access is denied to the program, the operator can still view the notes held against a key field.
