Import Roles

You use this program to import role settings from a text file that was output by the Export Roles program at another SYSPRO site.

This enables you to transfer role settings to multiple SYSPRO sites without having to manually recreate the settings for each role on each new site.

Toolbar options

Field Description
Import Select this to indicate details of the role settings file that you want to import. You will need to specify whether to export the file to the Client or Server.

Select the Verify Import function to review the role settings within the file you want to import.

Organogram Loads the Organogram program to view and manipulate the hierarchy of roles for your organization.

Import information

This pane indicates details relating to the file being imported.

Field Description
File information  
Version This indicates the version of SYSPRO used to create the export file.
Format This indicates the version of the export file. This is typically IMPROE, to indicate that the file was created using the Export Roles program.
Created This indicates the date on which the export file was created.
Exported by This includes details of the operator who created the export file as well as the SYSPRO company from which the file was exported.

Import options

Field Description
Import options These options enable you to indicate the role settings you want to import.

All role setting are included by default, but you can deselect those you do not want to import. Deselecting any of these options automatically deselects the corresponding option for all roles in the Import configuration pane and vice versa.

Alternatively, you can selectively select/deselect them against individual roles in the Import configuration pane.

Delete and insert new role Deletes the existing role on the target machine together with all its settings and replace it with the information in the import file.
Merge with current role Merges the existing role settings on the target machine with the role settings in the import file.

The settings in the import file are added to the settings for the role on the target machine.

[Note]

When you merge with the current role, the current level of security for the current (target) role is never reduced. It can however be increased according to settings defined in the import file.

For example: If a list of activities allowed exists against the current role (but on the import file all activities are allowed for the role) then the current role is changed to allow all activities.

If a field, activity or access control option is allowed on the current role but not allowed on the import file, then the current role remains unchanged (i.e. it retains the access settings that were in place before the import was run.

Stop if any role exists Stops the import if the role already exists on the target SYSPRO site.

Import configuration

Field Description
Import role Highlight the roles you want to import.
Role This indicates the description of the role and is displayed for information purposes.
User interface Indicates the user interface settings for the selected role that will be imported.
eSignatures Indicates the eSignature settings for the selected role that will be imported.
Program access Indicates the program access settings for the selected role that will be imported.
Activities and Fields Indicates the activities and field settings for the selected role that will be imported.
Access control Indicates the access control settings for the selected role that will be imported.
Workflow Indicates the workflow settings for the selected role that will be imported.
Status bar This indicates the number of items selected for import from the total number of items available for selection.
