Interface Export

You use this program to export one or more files from your local SYSPRO site to other sites via the SYSPRO to SYSPRO Interface Module.

You can indicate the different sites to which files must be exported, as well as the specific files to export.

The program creates control files in the current working directory containing the records to be imported at one or more destination sites.

SYSPRO Interface Export

Field Description
Local site This indicates the local site from which the export will be made.
Destination site selection  
All Select this to export the selected files to all your sites.
[Note]

You must select this option if you intend exporting the same file to more than one site.

This is because once the file is exported to any remote site, all records in the file are flagged as exported (even if they were excluded from the export selection).

Single Select this to export the selected files to a single site. Any file exported is not available again for export to another site.
Site Indicate the single site to which the file must be exported.
View Last Export

Select this to view details of all the files that were processed in the last export to the selected remote site.

You cannot select this if you selected All at the Destination site selection field.

View Export Log

Select this to view a summary of all the exports performed to the selected remote site.

You will be unable to select this function if you selected Allat the Destination site selection field.

List of files to export Indicate the files that you want to export to a specific site. The availability of files is determined by settings configured against the site (Interface Sites).

If you select to export all the Inventory files, then the program could take some time to run (see Processing).

Inventory master file Select this to include the inventory master file for export.
Inventory warehouse file Select this to include the inventory warehouse file for export.
Inventory journal file

Select this to include the inventory journal file for export.

The export program only extracts records that have not yet been extracted, and that match the correct branch/warehouse defined for the destination site specified.

Goods in transit files Select this to include goods in transit files for export.
Customer master file Select this to include the customer master file for export.
Cash journal file

Select this to include the cash journal file for export.

The export program only extracts records that have not yet been extracted, and that match the correct branch/warehouse defined for the destination site specified.

Sales transaction file

Select this to include the sales journal file for export.

The export program only extracts records that have not yet been extracted, and that match the correct branch/warehouse defined for the destination site specified.

Stock code selection You can only access these options if you selected to export the Inventory master file.
All Select this to export all stock codes.
Modified stock codes Select this to export only new stock codes that were added and existing stock codes that were modified.
Warehouse selection You can only access these options if you selected to export the Inventory warehouse file.
All Select this to export all warehouses.
Modified warehouses Select this to export only new warehouses that were added and existing warehouses that were modified.
Customer selection You can only access these options if you selected to export the Customer master file.
All Select this to export all customers.
Modified customers Select this to export only new customers that were added and existing customers that were modified.
Start Export

Select this to export records according to your selection criteria.

For each group of files exported to a site, a new group control file is created containing a list of files to be transferred (including the group control file) to the destination site. Each time the export program is run, a new control file is created containing a list of files that must be transferred to the destination site.

After exporting one or more files, the export group control number is incremented by one. This means that when next the Interface Export program is run, the export files are uniquely identified by the group control number (and will not overwrite previous export files that still have to be copied to another site).

An export file is created for each of the files that is processed by the Interface Export program. A transaction record of each file exported is output to the site's log file.

Close Select this to exit the program without performing an export.

Export File Naming Convention

The name of the control file is ?xxyy.nnn, where:

? indicates the company id of each destination site
xx indicates the code of each destination site
yy indicates the code of the local site
nnn indicates the next group export control number

According to the above formula, if the next group control number is 9, your local site is HO and you are exporting to site BB, then the next control file is named ABBHO.009 (assuming a company id of A for site BB).

Within the group control file, the characters CTL indicate a control record and the characters FILE indicate the name of an actual data file.

The system date and the computer operating system date prevailing at the time the export was performed, are stored on the control record, together with the name of both the local and destination sites.

A transaction record of each file exported is output to the site log file.

Processing

When you select to export all the Inventory files, the program does the following:

  1. Exports a stock code record to all the sites that require the export.

  2. Exports the associated INVPRC records for the stock code to all the sites that require the export.

  3. Exports the associated INVFOR records for the stock code to all the sites that require the export.

  4. Exports the associated INVALT records for the stock code to all the sites that require the export.

  5. Exports all the INVALS records for the stock code to all the sites that require the export

  6. Exports all the INVQCT records for the stock code to all the sites that require the export.

  7. Exports all the INVWIF records for the stock code to all the sites that required the export.

  8. Exports each of the INVWHS records

  9. Exports all inventory journal records.

  10. If you are using the full Goods in Transit, then all GIT files are also exported.
