Stock Take Import

You use this program to import stock count data captured using third party application software.

Field Description
Import Validates the contents of the import file and import records if there are no errors.
Save Form Values This option is only enabled in Design mode (see Automation Design). Your selections are saved and applied when the program is run in automated mode.

Field Description
Import method  
From file Indicates you want to import data from a file.
Use data grid Indicates you want to enter data directly into the grid of the Details pane (you can paste the contents of an Excel spreadsheet into the grid).
File location  
Server Indicates the import file resides on the server.
Client Indicates the import file resides on the client.
File name Indicate the name of the import file (include the full path).
Review file Loads the contents of the import file into the Details pane. This enables you to validate the lines on the grid prior to importing the file. The Import button is enabled only when all lines are valid.

Options

Field Description
Warehouse

Indicates the warehouse into which you want to import stock code quantities.

Warehouse description Indicates the description for the warehouse code entered.
Create non-existent bins

Creates a bin automatically if a stock code/bin number combination specified in the import file does not exist. The default bin location assigned to the stock code is not overridden.

This option is only enabled if multiple bins are required and the setup option to allow the creation of bins when processing inventory transactions is enabled.

Create non-existent serial

Creates serial numbers automatically if the stock code/serial number combination specified in the import file does not exist.

This option is only enabled if the serial tracking system is required.

Create non-existent lot

Creates lot numbers automatically if a stock code/lot number combination specified in the import file does not exist.

This option is only enabled if the Lot Traceability module is installed as part of your license agreement.

Validate returns all records

Produces a listing of the import file (including error messages) when you select to validate the import file. Otherwise the system merely indicates the number of records read and the number of errors found.

Ignore records from other warehouses

Ignores any line in the import file that contains a warehouse code other than the warehouse for which the stock take capture is being performed.

If you deselect this option and the warehouse code in the import file is blank (or is different to the warehouse code for which the stock take is being performed) the import fails validation and the records are not imported.

You would typically deselect this option if you had an import file with counted quantities for a single warehouse and you wanted to ensure that the warehouse field on the import file contained only the code for that warehouse.

Add ECC entry for new warehouse

Imports revisions/releases not previously transacted in the warehouse for which you are importing the capture. This applies only to ECC-controlled items.

The option is only enabled if Engineering Change Control is installed and Lot Traceability is not installed. If you are using the Lot Traceability module, then you must use the Create non-existent lots option to import new revisions/releases into a warehouse.
Default capture method  
Increase Adds the quantity imported for an item to any quantity previously counted/imported for the item.
Replace Replaces any previously counted/imported quantity for an item, with the quantity imported.

After processing completed

Field Description
Print the Details Generate a report of the contents of the Details entry grid.
Email the Details Generate an email of the contents of the Details entry grid.
Print the Import Results Generate a report of the contents of the Import Results pane.
Email the Import Results Generate an email of the contents of the Import Results pane.
Email recipients Indicates the email addresses of recipients to whom you want to email the information displayed in the output panes.
Delete file after use Indicates whether you want to delete the import file after all records are successfully imported.

In a client/server environment, both the import file on the server and the temporary import file created on the client are deleted.

Close the application Exits the program once processing is complete. Do not select this if you want to be able to view the information on screen when processing is complete or you want to print or email the contents of the Details and Import Results panes.

Details

Field Description
Validate This verifies whether there are any errors in the grid, without actually importing records.

Exclamation marks in the Validation status column indicates that one or more fields in the line are invalid. An explanatory error message is displayed when you hover your mouse pointer over the exclamation marks.

Print Prints the contents of the import file, or changes made in the grid.
Export to Excel Outputs data from the Details pane to an Excel spreadsheet.
Search text  
Clear Clears the contents in the search text field.
Edit  
Copy Copies the lines in the Details pane.
Paste (all columns) Ensure that you have data for all the columns that can appear in the data grid before selecting this option.

When you select to Paste (all columns) the date you are pasting must be in the format CCYYMMDD. Although no validation errors are displayed, the date is not converted into your SYSPRO date format.

Paste (visible columns only) Pastes data into the columns that currently appear in the data grid, in the sequence that they appear.

When you select to Paste (visible columns only) and the date you are pasting is not in CCYYMMDD format, you are prompted for the date format. The program correctly inserts it into the grid in the SYSPRO date format.

Duplicate Copies the current row to the end of the data grid.
Find and Replace  

Import Results

Displays a summary of the results of the validation/import.

This information can be printed or emailed providing you did not select to Close the application in the After processing completed section.

Mandatory entry of this comment on the first line of the import file to distinguish it from a SYSPRO 6.1 layout file. This comment is not case sensitive.

Line type 1 1

This must be the character S to indicate a stocked line.

Warehouse 2 10

Indicates the warehouse in which the stock code has been counted. If blank, it defaults to the warehouse entered in the Inventory Stock Take Capture program. Otherwise, it must match the warehouse selected for the stock take.

If you leave this field blank and the import file contains stock take quantities for multiple warehouses and the Ignore records from other warehouses option is enabled, then the quantities are added to each warehouse for which you perform the stock take capture.

Stock code 12 30

(Mandatory) If the stock item is held in cases and pieces, then the quantity counted must only refer to whole cases (i.e. no decimals must be specified).

Quantity counted 42 20

(Mandatory) This quantity must be positive or zero. If the Unit of measure field is left blank, then it is assumed that the Counted quantity is in the stocking unit of measure.

If you enter a unit of measure in the Unit of measure field, then the Quantity counted is converted into the stocking unit of measure using that entry.

Bin location 62 20

If a bin exists against the selected warehouse, then the bin number must be entered.

Reference 82 30

This can be blank.

Serial number 112 50

If the stock item is serialized, then the serial number must be entered.

You must create one line in the import file for each serial number of the stock item.

Pieces 162 6

Indicates the number of broken units. This applies to stock items for which Unit quantity processing is required (Stock Code Maintenance). For example, if you counted 10 full boxes and 3 loose pieces, you enter 10 in the Quantity counted field and 3 in this field.

It is possible to enter more pieces than is contained in one unit. For example, if one box contains 10 units and you enter 203 in this field, then the system converts this to 2 boxes and 3 loose pieces.

Lot 168 50

If you enabled the Same lot to be used on multiple stock codes setup option (Lot Traceability Setup), then you can reuse the same lot number for different stock codes.

Lot expiry 218 8

Indicates the Lot number expiry date in the format CCYYMMDD. This date is only used and validated if an expiry date does not exist against the lot.

Version 226 5

Indicates the ECC version number.

Release 231 5

Indicates the ECC release number.

Unit of measure 236 10

Indicates the unit of measure for the Quantity counted. You typically enter the unit of measure if the Quantity counted is not in the stocking unit of measure.

When this is left blank, the program assumes that the Quantity counted is in the stocking unit of measure.

Notes and warnings

Restrictions and limits

  • You can only perform the import if a stock take is currently in progress for the warehouse.

Import file ignored lines

  • Conditions under which subsequent serialized lines are ignored in the import file:

    • Two or more lines in the import file are for the same manual serialized stock item.

    • The same serial number has been specified against the lines.

    • The import option: Create non-existent serials is enabled.

  • Conditions under which subsequent EEC-controlled/traceable lines are ignored in the import file:

    • two or more lines in the import file are for the same ECC controlled/lot traceable stock item

    • the lot number against the lines is the same (but the revision/release numbers are different)

    • the import option: Create non-existent lots is selected

Activity considerations

Operator access to the following activities within this program can be restricted. You configure this using the Operator Maintenance program.

Activity Description
Listview/Forms - Export or print data Controls whether an operator can print the contents of a listview and/or output the contents of a listview to an HTML page, XML document or Excel spreadsheet.
Maintain data in import programs Controls whether an operator can maintain import data in a data grid within any SYSPRO import program before the import is performed.
Allowed to import from client Controls whether an operator can use a SYSPRO import program to import data from a client machine (in a client/server environment).
File Browse on server (C/S system) Controls whether an operator use the browse function to load the Browse on Files and Folders program to locate files on the server in a client/server environment. Operators can still navigate to a file or folder on the server by typing in the full path name in the entry field.

Application Help Pane

Application Help Panes provide step-by-step instructions for various functions within the program, including a brief overview of what the program does, what setup options are required and how to personalize the program. The intention is that the pane provides information that is uncluttered and easy to navigate.

You can embed an Application Help Pane:

  • in the main SYSPRO menu

  • in any program with panes, if not using roles

  • when adding a role layout in Design Mode.

Inserting Application Help

You would typically follow this procedure to display help for the current program in a customized pane that can be pinned to the program window.

Information includes step-by-step instructions for the various functions available within the program, including a brief overview of what the program does, what setup options are required and how to personalize the program.

  1. Open the program for which you want to insert application help into a customized pane.

    This functionality is only available for a program that has panes.

  2. Right-click any form field.

    You can also click the triangle menu icon that appears in the title area of a pane.

  3. Select Insert Application Help from the context-sensitive menu.

    The application help appears in a pane within your program. You can reposition the pane using the docking stickers or pin it to the program window.

Removing the Application Help pane

If you no longer want to display application help in a pane for your current program, you can simply remove it.

  1. Select the Close icon in the right-hand corner of the application help pane.

  2. Confirm that you want to delete the pane.
