GL Recurring Journals

You use this program to generate a report of General Ledger Recurring journals currently defined and to optionally validate these journals.

GL Recurring journals are defined using the GL Recurring Journals program and are posted to the General Ledger using the GL Post Recurring Journals program.

Report Options

Field Description
Validate journals for posting Select this to valid the recurring journals.

Error messages are generated for errors found in any recurring journal.

These checks include:

  • The year to post into is before the current year

  • The total debits do not equal the total credits

  • The ledger code is not on file

  • The journal has no entries

  • The source code is undefined

  • Missing current year history

Authorized journals This applies if you selected the setup option: Authorization of journals before posting required (General Ledger Setup - Journals tab).
Both Select this to include both authorized and unauthorized journals in the report.
Authorized journals Select this to include only authorized journals in the report.
Unauthorized journals Select this to include only unauthorized journals in the report.

Selections

In addition to the report options that can be selected, the following selection criteria can be defined:

Selection Description
Recurring journal code selection Indicate the recurring journal code(s) for which you want to generate the report.

Output Options

These options enable you to apply a theme to the report and to define multiple output destinations for the report once it has been compiled (SRS Output Options).

Report Details

If the recurring journal has been posted at least once, then the Last journal created line gives the last General Ledger journal number created for the recurring journal. If the journal has never been posted, then this line is not included on the report.

When printing unposted recurring journals with an Entry type of Percent, the journal amount is indicated as zero. The reason is that the journal amount is only calculated when the journal is posted, using the current balance of the source ledger account specified and applying the percentage defined against the journal. The journal amount can therefore only be printed once the journal has been posted.

Only journals with errors are printed on the report, when you select the option: Validate journals for posting.
