Lot Number Maintenance

You use this program to change the expiry date of a lot and to place a lot on hold.

Separate transaction records are written out for a change in expiry date and/or hold status.

Lot Number Maintenance

Field Description
Lot number details  
Stock code Indicates the code of the stock item for which you are maintaining the lot details.
Lot number Indicates the number of the lot you are maintaining.
Warehouse Indicates the warehouse location of the lot you are maintaining.
On hold  
Lot on hold Places the currently displayed lot on hold.

You would typically place a lot on hold to prevent issues from the lot being made during processing in the Inventory, Work in Progress, Sales Orders or Accounts Receivable modules.

If you have enabled the multiple bins setup option (Inventory Setup) then the hold applies only to the selected lot/bin number combination.

Reason for hold Enter the reason for placing the lot on hold.
Expiry details  
New expiry date Enter a new expiry date for the currently displayed lot.

Reference

Enter text to explain the lot expiry date change. This will be reflected against your lot transaction details.

Change expiry date for all bins This only applies when Multiple bins are in use (Inventory Setup).

This option together with the Change expiry date for all warehouses are used to update the lot expiry date where the lot quantity on hand is greater than zero as follows:

  • To change the lot expiry date in all bins in all warehouses:

    • enable Change expiry date for all bins

    • enable Change expiry date for all warehouses

  • To change the lot expiry date for all bins in the current warehouse:

    • enable Change expiry date for all bins

  • To change the lot expiry date in all warehouses for the default bin against the stock code and warehouse:

    • enable Use default warehouse bin location (Inventory Movements - Preferences)

    • disable Change expiry date for all bins

    • enable Change expiry date for all warehouses

  • To change the lot expiry date in all warehouses for the default bin defined in the Bin location to use field (Inventory Movements - Preferences):

    • disable Use default warehouse bin location and define the Bin location to use (Inventory Movements - Preferences)

    • disable Change expiry date for all bins

    • enable Change expiry date for all warehouses

  • To change the lot expiry date for the selected Lot number and Bin number only:

    • disable Change expiry date for all bins

    • disable Change expiry date for all warehouses

Change expiry date for all warehouses Updates the lot expiry date in all warehouses where the lot quantity on hand is greater than zero, as explained against the Change expiry date for all bins option above.

eSignature considerations

Electronic Signatures provide security access, transaction logging and event triggering. This enables you to increase control over your system changes.

Access to the following eSignature transactions within this program can be restricted at Operator, Group, Role or Company level. You configure this using the Electronic Signatures program.

Lot number added

Controls access to the New Lot or Add functions in the Lot Maintenance, Browse on Lots and Lot Number Maintenance programs.

Lot number changed

Controls access to the maintenance of lots in the Browse on Lots and Lot Number Maintenance programs.
