RMA Query

You use this program to view authorized returns together with the associated terms & conditions of the returns.

A typical use of this program would be to track the status of a Return Merchandise Advice. This could be driven internally from your sales department, or externally in response to a customer request.

RMAs can be queried provided you know either the RMA number or the customer code.

This program can be run at any time.

There are no dependencies between this program and any other program.

If you are new to this query, then the following information will help you achieve the best results:

  • The information shown is always up to date (i.e. the query will reflect the latest information for RMAs captured or maintained).
  • If you know the RMA number, then you can enter it directly and press the tab key to view the information.

    If you do not know the RMA number, then you can use a number of methods to find the order. These include:

    • using the browse function to locate the order
    • using the Find function (i.e. Ctrl+F) within the browse to search for the order
    • using the Customer code
  • You can personalize this query in a number of ways. These include:

    • setting preferences that are retained for future use
    • setting options that affect the orders/order lines displayed
    • configuring property sheets (e.g. the section headed RMA Header). This includes being able to sequence items by dragging them up or down, to show important items first
    • configuring the Detail Lines listview. This includes being able to sequence columns by dragging them left or right, sorting columns and changing column widths
    • configuring the layout of the panes on the screen, including hiding or displaying panes
    • customize the menu and toolbars.

Toolbar and menu

Field Description
Options  
Preferences Select this to indicate the amount of information you want to view.
Sequence  
By RMA Select this to query RMA information by entering a RMA number in the RMA number field.
RMAs by Customer Select this to query RMA information by entering a customer code in the Customer field.
RMA number You use this field to enter the RMA number you want to query.

You can use the Browse icon to use the RMAs Issued program to select a RMA number.

[Note]

If you set your preferences to only display RMAs in specific statuses and you enter an RMA which is not in that range of statuses, then the message: "This RMA has a status which is currently not selected within the options" is displayed.

Play Select this to view any multimedia objects assigned to the RMA Header.
Edit Select this to maintain multimedia objects for the RMA Header (see Multimedia ). Multimedia objects can also be defined and viewed against RMA lines in the Detail Lines listview.
Comments Select this to use the Text Editor program to add free format notes to the RMA.
Customer

Enter the customer for whom you want to view RMAs in the query.

You can use the Browse icon to use the Browse on Customers program to select a customer.

This field is enabled when you select the option: RMAs by Customer from the Sequence menu.

Preferences

You use the Preferences option from the Options menu to define the amount of information you want to view in the query.

Field Description
RMA selection Indicate the RMAs to display based on their status. These include:
  • In Process (0)
  • Open (1)
  • Partially Closed (2)
  • Open with Cross Shipment (X)
  • Closed(9)

Note that these preferences apply only to the RMA entered at the RMA number field and not to the RMAs Issued program used to browse on RMAs.

Select All Select this to display RMAs in all statuses in the query.
Deselect All Select this to deselect all RMA statuses. You would typically use this function if you wanted to select only a few RMA statuses to view.
Save Preferences Select this to save your selections against your operator code and to return to the query.

Only those RMAs matching the status(es) you selected can be queried.

Close Select this to save the preferences you selected for the current run of the program only.

RMA Header

This displays information from the Return Merchandise header - see Return Merchandise Header.

Customer Information

Field Description
Ship to address This indicates the ship to name and address as they appear on the RMA Header.

Custom Form

This pane displays custom form information attached to the RMA.

Custom Form Data Entry Select this to use the Custom Form Data Entry program to enter custom form data against the RMA.

Detail Lines

This displays details of the RMA lines - see RMA Issues and Receipts.

The Multimedia column can be added to the listview using the Field Chooser option, enabling you to define and view multimedia objects for the detail line.

Additional Line Information

Field Description
Rev/Rel

This indicates the revision/release number for the item, providing:

  • you selected the setup option: Prompt for rev/rel at issue (RMA Setup - General tab).
  • the stock code you entered is defined as ECC controlled (Stock Code Maintenance - Tracking tab).
Problem code This indicates the problem code associated with the RMA. You can select this field to use the Browse on RMA Problem Codes program to maintain problem codes.
Comments
  • Problem code comments

    This indicates the description for the problem code associated with the RMA. You can select this field to use the Text Editor program to view all problem code comments.

Detail Line Custom Form

This pane displays custom form information attached to the RMA detail line.

Restrictions and limits

  • You can only view RMAs linked to salespersons, warehouses and AR branches to which you have been granted access (Operator Maintenance - Security tab).

Activity considerations

Operator access to the following activities within this program can be restricted. You configure this using the Operator Maintenance program.

Activity Description
RMA Maintenance of custom forms for a completed RMA Controls whether an operator can maintain custom form data for an RMA which is in a status of Complete.

Inserting Application Help

You would typically follow this procedure to display help for the current program in a customized pane that can be pinned to the program window.

Information includes step-by-step instructions for the various functions available within the program, including a brief overview of what the program does, what setup options are required and how to personalize the program.

  1. Open the program for which you want to insert application help into a customized pane.

    This functionality is only available for a program that has panes.

  2. Right-click any form field.

    You can also click the triangle menu icon that appears in the title area of a pane.

  3. Select Insert Application Help from the context-sensitive menu.

    The application help appears in a pane within your program. You can reposition the pane using the docking stickers or pin it to the program window.

Removing the Application Help pane

If you no longer want to display application help in a pane for your current program, you can simply remove it.

  1. Select the Close icon in the right-hand corner of the application help pane.

  2. Confirm that you want to delete the pane.
