Return Merchandise Line Details

You use this program to add and maintain RMA line details for a RMA.

Toolbar and menu

Field Description
New Select this to add a new line to the RMA.
Save Saves the information you entered for the RMA line.
Functions  
Select Sales Invoice

Select this to use the Sales Order Invoices program to select an invoice from the Reprint file/table against which to process the RMA.

You typically use this option to process an RMA against an invoice which has been consolidated, brought forward or purged.

Select Movement

Select this to use the Sales Movements for Customer program to display a list of sales movements for the customer.

When you select the Change function to maintain a line, the Movements function is only enabled if no invoice number was previously entered for that line.

Select Serial Select this to use the Browse on Serial Numbers program to view a list of serial numbers for the stock item entered in the Stock Code field.

You typically use this function when the invoice number is not known, but the serial number is available. You can select the appropriate serial number from the listview of the Browse on Serial Numbers program to find the invoice number on which it was sold.

In addition, when you use this option to select the required serial number, the Warranty date field is set to the expiry date of the serial number selected.

Change Cross Shipment

Select this to view or maintain details of the cross-shipment.

This is only available after you save cross-shipment details for an RMA.

Return Merchandise Line details

Field Description
Line number This indicates the RMA line number currently being added or maintained.
Use invoice Select this to link the RMA to an invoice.

Do not select this if the RMA does not involve an invoice. In this case, the word NONE is displayed at the Invoice number field.

Invoice

Indicate the invoice number against which to process an RMA.

By attaching the RMA to an invoice, the credit is automatically applied to that invoice. In addition, all additional text and/or dangerous goods lines on the invoice are pulled through to the credit note.

You can use the Select Sales Invoice option from the Functions menu to select an invoice from the Reprint file/table against which to process the RMA. This enables you to process an RMA against an invoice which has been consolidated, brought forward or purged.

If you enter an existing invoice number, then you can indicate the lines from the original invoiced sales order to include in the return (see SO Order Lines for Credit Note).

Once a RMA line is saved for a specific invoice, the invoice number cannot be changed. If the incorrect invoice number was saved against the line, then the line must be deleted and recaptured using the correct invoice number.

If you are not linking the RMA to an invoice, then you cannot access this field and the word NONE is displayed.
Non-stocked

Enable this to indicate that you do not stock the item in any of your warehouses.

A non-stocked item is one that does not exist in your inventory control system, and is usually a custom-made item on special request.

Stock code

Indicate the stock item being returned.

If you entered an invoice number in the Invoice field, then the Browse function displays all items which appeared on the entered sales order invoice (SO Order Lines for Credit Note) or dispatch invoice (SO Dispatch Order Lines from Reprint). Note that if the serial or ECC status of an item has changed after an invoice was created, then any invoice lines created prior to the change cannot be selected using SO Order Lines for Credit Note or SO Dispatch Order Lines from Reprint program.

When browsing on these items for a Kit type or Sub type kit (Stock Code Maintenance - Sales Details pane), then you can indicate the individual kit components to include in the return providing the activity: SO Select individual kit component from invoice for credit is allowed against your operator code (Operator Maintenance - Security tab).

[Note]

Miscellaneous charges are ignored by the browse function for a sales order invoice (SO Order Lines for Credit Note). This means that Service Charges attached to a stock item are not added to the RMA for inclusion when the credit note is automatically created.

If you did not enter an invoice number, then all stock items currently defined are displayed within the browse.

You can only enter a kit item if you selected the setup option: Single level Bill of Materials required (Sales Order Setup - Details tab). In addition, the kit item must have at least one component.

If the stock item is on Partial hold (Stock Code Maintenance), then a warning message is displayed, but can continue to process the line. If the stock item is on Full hold, then you cannot process the line. If the stock item is Obsolete, then a warning message is displayed and you can select an alternate stock item or accept the stock item entered.

Description This indicates the description of the item. For stocked items the description assigned to the item is displayed automatically. For non-stocked lines, you can enter a description to identify the item.
Product class

This indicates the product class of the item.

For stocked items this defaults to the product class allocated to the stock code and cannot be changed.

Quantity Indicate the quantity of the stock item returned by the customer. This defaults to the quantity specified on the invoice.

You can enter a quantity greater than the original invoice if the activity: RMA Allow total quantity greater than original invoice is allowed for your operator code (Operator Maintenance - Security).

For a cross shipment, this quantity cannot be less than the remaining quantity on the existing cross shipment sales order for the RMA.

Unit of measure This indicates the unit of measure for the quantity.
Purchase date Indicate the date on which the item was purchased. This defaults to the invoice selected.
Warranty date

Indicate the date on which the warranty expires.

If the line is for a serialized item that has an expiry date, then you can use the Select Serial option from the Functions menu to automatically enter the expiry date of the selected serial in this field. Alternatively, you can manually enter a warranty date.

If the item is still within the warranty period, then the RMA type used is: Defective in warranty.

Return by date Indicate the date by which the goods should be returned.

This field is validated only if you made an entry at the option: Max. days allowed for returned product (RMA Setup) and the RMA is for a cross-shipment that exceeds the number of days allowed.

Serial number

This is displayed for information purposes.

Serial and lot numbers are recorded at the time of performing an RMA Issue and are allocated at the time of performing the RMA receipt.

If the invoice number was not entered at the time of adding the RMA, then the serial number and lot number fields can be used to locate the invoice number of the item being returned.

Lot Select the lot number allocated to the stock code.
Revision

Enter the revision level for ECC controlled items.

This function is only enabled if:

  • you selected the setup option: Prompt for rev/rel at issue (RMA Setup - General tab).
  • the stock code you entered is defined as ECC controlled (Stock Code Maintenance - Tracking tab).

Revision is the default wording for this function, but is replaced by whatever wording you defined against these user defined fields (Bill of Materials Setup - Engineering Change Control tab).

Release

Enter the release level for ECC controlled items.

This function is only enabled if:

  • you selected the setup option: Prompt for rev/rel at issue (RMA Setup - General tab).
  • the stock code you entered is defined as ECC controlled (Stock Code Maintenance - Tracking tab).

Release is the default wording for this function, but is replaced by whatever wording you defined against these user defined fields (Bill of Materials Setup - Engineering Change Control tab).

Cross shipment Select this to create a cross-shipment sales order.

You use the Cross Shipment Details program to enter the cross shipment details.

You can only access this field if you enabled the option: Create sales order at the Cross-shipment options field (RMA Setup).

You can only process a cross shipment for a kit item if you selected the setup option: Single level Bill of Materials required (Sales Order Setup - Details tab).

Problem code Indicate the code that will enable you to identify recurring problems with items returned by a customer.

Entry at this field is mandatory if you enabled the option: Problem code mandatory (RMA Setup).

Problem notes Select this to use the Text Editor program to add free format text relating to the RMA problem.
RMA type

With the exception of the Defective out of warranty option, these RMA types are for documentation purposes only and can be printed on the RMA Document Print and Outstanding Authorizations programs.

Field Description
General return Select this to indicate that the customer was unhappy with the product and requires a credit.
Defective credit Select this to indicate that the customer will be credited for a defective item being returned.
Defective in warranty Select this to indicate that the item, which is covered under its warranty, will be repaired.
Defective out of warranty Select this to indicate that the product is out of warranty. You cannot to enter estimated labor and material costs to repair the item as well as indicate whether the customer is to be billed and by what method.
Incorrect order Select this to indicate that the customer is returning a product that was incorrectly ordered.
Incorrect shipment Select this to indicate that an incorrect shipment was sent to the customer and part of the shipment is being returned. An invoice number must be supplied for this RMA type.
Short shipment Select this to indicate that the customer was short-supplied and needs to credited for the balance.
Warranty details These options are enabled only if you selected the option: Defective out of warranty at the RMA type field.
Estimated repair date Indicate the date by which you estimate the item to be repaired.
Estimated labor cost Indicate the estimated labor costs to repair the item.
Estimated material cost Indicate the estimated material costs.
Billable Select this to indicate that the customer must be billed for any repairs.

CashSelect this if the customer is permitted to pay cash for any repairs.

User defined 1 Indicate additional information you want to assign to the RMA issue. You can configure your own wording for this field (RMA Setup).

Cross Shipment Details

This screen is displayed when you enable the Cross shipment field.

Typically, a cross-shipment is required when the customer cannot return the defective item until a replacement part is received.

Field Description
Delete Select this to delete the cross shipment information.
Save Select this to save the information you entered.
Cross Shipment Details These options enable you to enter the cross shipment details.
Non-stocked Enable this to indicate that you do not stock the item in any of your warehouses.
Stock code

Indicate the replacement item that must be cross-shipped to the customer.

You can only cross ship a kit item if you selected the setup option: Single level Bill of Materials required (Sales Order Setup - Details tab). In addition, the kit item must have at least one component.

If the stock item is on Partial hold (Stock Code Maintenance), then a warning message is displayed, but can continue to process the cross shipment. If the stock item is on Full hold, then you cannot process the cross shipment. Warehouse Indicate the warehouse in which the item is stocked.
Details These details are required if the item is a non-stocked item. For a stocked item, these fields default to the values defined against the stock item (Stock Code Maintenance).
Quantity Indicate the quantity of the item to be cross-shipped.
Unit of measure Indicate the unit of measure to which the quantity relates.
Price Indicate the price of the item.
Unit cost This indicates the cost of each unit.
Product class

Indicate the product class of the item.

For stocked items this defaults to the product class allocated to the stock code and cannot be changed.

Unit mass Indicate the unit mass of the item.
Unit volume Indicate the unit volume of the item.
ECC details

Enter the revision and/or release levels for ECC controlled items.

These fields are only enabled if:

  • you selected the setup option: Prompt for rev/rel at issue (RMA Setup - General tab).
  • the stock code you entered is defined as ECC controlled (Stock Code Maintenance - Tracking tab).
Current when shipping Enable this to use the revision/release which is current for the cross shipment item at the time of shipping the item.
Revision

Enter the revision of the cross-shipment item.

Revision is the default wording for this function, but is replaced by whatever wording you defined against these user defined fields (Bill of Materials Setup - Engineering Change Control tab).
Release

Enter the release of the cross-shipment item.

Release is the default wording for this function, but is replaced by whatever wording you defined against these user defined fields (Bill of Materials Setup - Engineering Change Control tab).
Tax information  
Taxable Enable this if the cross-shipment order is taxable.
Tax code This indicates the tax code to assign to the cross-shipment order.

Stock Code Information

The information in this pane relates to the item for which you are currently processing the RMA line.

Notes and warnings

Activity considerations

Operator access to the following activities within this program can be restricted. You configure this using the Operator Maintenance program.

Activity Description
SO Select individual kit component from invoice for credit Controls whether an operator can process a credit note against an existing invoice for individual components of Kit types S andK (i.e. Kit type and Sub type kits).

When this activity is not enabled, the operator cannot use the SO Order Lines for Credit Note or SO Dispatch Order Lines from Reprint programs to select/deselect kit components for the credit note; only the entire kit can be credited.

This activity applies to credit notes for invoices, consolidated invoices, dispatch notes and consolidated dispatch notes as well as for returns using the Return Merchandise Line Details program.
